Sales Coordinator, Group Business Channels

PURPOSE STATEMENT

Provides coordination and support services to the Group Business Channels including; Foodservice, In-store Bakery & Deli Direct Chains and the In-store Bakery & Deli / Ingredients Divisions. Through various software and as a collaborator, meet deadlines while managing competing priorities.  Pivots often to provide the needed coordination and support for divisions.

KEY ACCOUNTABILITIES/OUTCOMES

Provides effective and efficient sales coordination and administration.  This includes, but is not limited to:

Group Business Channel, Sales Division Coordination

  • Provides governance support and meeting coordination to Foodservice Division, In-store Bakery & Deli Direct Chains Division and the In-store Bakery & Deli / Ingredients Division
  • Provides presentation development support to Senior Vice President, Group Business Channels and In-store Bakery & Deli Direct Chains Division and the In-store Bakery & Deli / Ingredients Division leaders
  • Executes assigned presentations, projects within a timely, accurate, and professional manner utilizing a variety of software to achieve solid results
  • Administers weekly and monthly activities including Group Business Channel weekly updates, Division monthly updates (ISBD bi-weekly SMOR and monthly ISBD Direct Chains Customer Activity Reports)

Sales Division Coordination

  • Through multi-tasking, executes ad-hoc requests such as presentation support, customer meeting coordination, sponsorship coordination utilizing a variety of software and meeting deadlines while managing competing priorities
  • Provides coordination support for customer meetings and events at WHQ, outside WHQ and virtually
    • Leverages VisitWorks tool to manage effectively for assigned divisions
    • Collaborating with team members to provide support with event planning and coordination support of major distributor, customer and industry events both in-person and virtual (i.e.; IFDA, UniPro Conference, IDDBA, roundtables, virtual shows)
    • Assists in planning and execution of divisional sales meetings
  • Processes invoices and routes approvals for Broker Reimbursements via Webcycle
  • Provides support to Managers with onboarding and exiting of division associates
  • Completes various projects and process improvements as required
  • Provides field sales adhoc support as needed and approved by Division leadership

Sales Division Administration

  • Provides administrative support to Senior Vice President, Group Business Channels and other members of assigned division leadership teams as needed (calendar management, travel, expense reports, meeting coordination, office supplies, org charts, etc.)
  • Point of contact for Division inquiries, provides excellent customer service in responding to inquiries, etc.
  • Manages Team calendar, distribution lists, SharePoint sites for FSD and ISB divisions
  • Facilitates coordination of Trade journal subscriptions
KNOWLEDGE/SKILLS/EXPERIENCE
  • Bachelor's degree in Marketing, Business or related field
  • 2+ years of general business experience preferably in a marketing or sales office
  • Intermediate to advanced level knowledge of MS Office applications (Word, Excel, PowerPoint, Outlook); intermediate level proficiency with Teams (virtual conference platforms);  intermediate level proficiency of Adobe Acrobat a plus
  • Knowledge and usage of sales reporting and analytics tools 
  • Fast learner and able to assimilate new software, procedures and techniques as they are constantly introduced in this environment; solid basic analysis skills
  • Able to handle multiple assignments concurrently, possessing excellent organizational and time management skills, and being able to function in a fast-paced environment
  • Proactive with ability to anticipate, initiate, and prioritize
  • Demonstrated ability assuming responsibility without direct supervision, exercise initiative and judgment, and make decisions within the scope of assigned authority is required
  • Able to work with a variety of levels of management and customers
  • Excellent verbal and written communication skills
