We are seeking a Document Control Specialist who will manage the creation, release, maintenance, retrieval, disposition and retention of controlled documents in support of manufacturing and operations for our global equipment needs.  This position will report to the Engineering and Product Development Manager and will be responsible for creating procedures relating to the flow of product data and internal processes into and through the Arena PLM system.  You will develop, implement, and improve new and current documentation systems and change control processes within engineering.  You will also lead the review and revision of current procedures and consolidate all documentation within Arena.

 

Key Responsibilities:

  • Creates, reviews, and maintains engineering documentation such as Standard Operating Procedures, Document Control Procedures, Quality Documentation, Test Methods, Verification Protocols and Reports, and Item Specifications and BOM’s.
  • Coordinates information with engineering staff and suppliers to ensure documentation is accurate and current.
  • Assists in editing of technical drawings within Solidworks, approvals of documentation within the drawing management system (PDM or equivalent) and transferring and releasing to Archival and control system (Arena/PLM or equivalent).
  • Compares documentation between systems, address gaps to ensure both systems have the most up to date and accurate information.
  • Drives process creation and improvements, utilizing independent judgement and proposes robust changes.
  • Assists in the identification of documentation needs/gaps and works to systemically mitigate and addresses.
  • Works with engineering team to define BOM Structure, part numbering, and assembly numbering schemes based on business and project needs.
  • Defines and manages the change process within Arena – ECOs, DCOs, deviations etc.
  • Tracks engineering changes through the review and release cycle, ensuring correct implementation and timely approval and supplier acknowledgement. 
  • Maintains and updates the Arena database to ensure accuracy to the as-built BOM and ensures revision control is managed according to the policy. 
  • Maintains controlled document files to ensure only current released documents are available for use.
  • Serves as an Arena systems expert and is responsible for Arena training for staff as required.

KNOWLEDGE/SKILLS/EXPERIENCE

Qualifications and Requirements:

  • BA/BS degree or equivalent practical experience. 
  • Minimum 3-5  years with Change Management (Arena, SAP, Agile etc.) and Engineering Document Control or similar role in manufacturing operations including experience working with Contract Manufacturers. 
  • In-depth experience with standard Engineering control management systems such as Arena PLM, Box, Solidworks, and PDM Systems or equivalent.
  • Proficient in Microsoft Word, Excel, Power Point and Adobe Acrobat.
  • ISO 9001 and cGMP background is desired.
  • Ability to perform basic "drafting” and update redlined drawings is strongly desired. 
  • Experience with food safety and electrical safety (NSF, EC 1935/2004, TUV, UL, CE, etc.) is a plus.
  • Able to work with and manage two separate product documentation systems (PDM and PLM).
  • Able to prepare, read, analyze, and interpret common technical and manufacturing documents. 
  • Demonstrated capacity to work independently, defining and meeting position and project objectives.
  • Strong attention to detail and the ability to communicate well with others is required.
  • Strong working knowledge of editing, proofreading, spelling, grammar, and punctuation.
  • Strong demonstrated commitment to teamwork and working with internal and external customers.
  • Able to organize workload and prioritize multiple projects and tasks.
  • Able to produce consistent, clear, and high-quality documentation.
