PURPOSE STATEMENT

 

 The Operations Administrative Assistant acts as receptionist and provides administrative support services for the Production Manager and Human Resources department .

KEY ACCOUNTABILITIES/OUTCOMES

  • Provide support to include Talent management administration, HR reports/Analytics, being proficient on our HRIS system, creating presentations, spread sheets, organization charts, new hire orientation. 
  • Provide general HR administrative support for performance management tracking, compensation administration, salary information, etc, and HRIS data input/maintenance, answering telephone inquiries, scheduling meetings, filing, record retention, town halls, organize meetings including inviting attendees, reserving conference rooms, arranging catering. 
  • Anticipate the needs of HR business leaders and Production Manager and proactively addresses needs 
  • Perform other day to day functions such as maintaining adequate office supplies and ordering supplies as needed  
  • Greet all visitors courteously, determine their needs and pages whomever they are to see. 
  • Maintains plant and office bulletin boards in an up to date and legal compliance manner 
  • Assist Operations in payroll changes, and monitor associate timecards 

KNOWLEDGE/SKILLS/EXPERIENCE

  • Position requires a minimum of 3 years administrative experience and 1-3 years of experience in a payroll administrator position.  A 2-year Secretarial Science Degree is desirable and would be considered beneficial.
  • Excellent written and verbal communication skills with a professional demeanor.
  • Expert knowledge of MS Office applications (Word, Excel, PowerPoint, Outlook, etc.) is expected. Individual must be a fast learner and able to assimilate new software, procedures and techniques as they are constantly introduced into this environment.
  • Must be able to handle multiple assignments concurrently, possess excellent organizational and time management skills, and be able to function in a fast-paced environment.
  • Individual must possess the maturity to deal with matters of a highly confidential nature.
  • Must possess a high level of interpersonal skills to facilitate constant interaction with a wide variety of personalities and management styles.
  • Also, the ability to maintain focus on assigned tasks in spite of constant interruptions by telephone and personal contact is an essential component of the position.
  • Will need to be able to work effectively with others, both within the company and outside the company, to accomplish administrative duties.
